Incoming Letter
The Incoming Letters panel displays a list of letters sorted by the most recently stored entries.

Each row includes the following data:
Agenda Number – A unique identifier composed of a code (
M
), sequential number, Roman numeral for the month, and year.Sender
Subject and Content
Saved Time – Indicates when the letter was received or added to the system.
Unread letters are shown in bold, while read letters have a darker row background.
To the left of the Agenda Number, indicator icons may appear:
A comment icon means the letter has an associated disposition.

A paper plane icon means the letter has already been replied to.

Incoming Letter Filters
You can filter incoming letters using the available search and filter tools.

Filtered results can also be exported to a .csv
file, which can be opened in Excel or Google Sheets. The export file will be sent to your email.
Creating a New Incoming Letter
To add a new incoming letter, you must upload a file (PDF or image) as an archive of the letter.

Once the file is uploaded, a preview of the document and a form will be displayed, allowing you to manually fill in the letter’s information.

Alternatively, you can use AI✨ assistance to auto-fill the letter’s information, generate a summary, and provide a recommended letter category.



Note: The Agenda Number field is not included in the form because it is automatically generated by the system and is used internally.
Incoming Letter Actions
When you hover over a letter row, the Saved Time column will display available actions for that letter.
Download – Download the uploaded letter file.
Download Edit – Modify the letter’s content or metadata.
Edit Mark as Unread – Available only for letters that have already been read.
Mark as Unread Delete – Permanently remove the letter.
Delete
You can also perform bulk actions by selecting multiple letters.

Bulk actions only appear when one or more letters are selected.
Incoming Letter Details
When you open an incoming letter, its detailed view will appear like this:

If the letter has already been replied to, the associated outgoing letter’s agenda number will be shown at the bottom.
